Registration Policy

All participants must complete the official registration process through the conference website.
Registration will be confirmed only after successful payment verification.
Participants are responsible for providing accurate and complete registration information.
Registration categories may include Speaker, Delegate/Listener, Poster Presenter, Student Delegate, Virtual Participant, Exhibitor, Sponsor, and Accompanying Person.
Conference organizers reserve the right to accept, reject, or cancel any registration if necessary.

Payment Policy

All registration fees must be paid through approved payment methods available on the website.
Registration fees may vary depending on participation category, conference type, and registration period.
Any bank charges, taxes, transaction fees, or currency conversion charges shall be borne by the participant.
A confirmation email and payment acknowledgment will be shared after successful registration.
Customized sponsorship, exhibitor, institutional, or group participation packages may be available upon request.

Cancellation & Refund Policy

All cancellation requests must be submitted in writing through the official conference email address.
The date of email receipt will be considered as the official cancellation date for refund eligibility.

Refund Eligibility

Cancellation received before 60 days of the conference: 75% refund
Cancellation received between 60 to 30 days prior to the conference: 25% refund
Cancellation received within 30 days of the conference: No refund applicable
E-Poster, Video Presentation, Virtual Participation, and Accommodation registrations are non-refundable.
Refunds, if applicable, will be processed after the completion of the conference.
In case of excess payment or duplicate payment, refund requests must be submitted in writing to the conference organizing team.

Important Notes

No refunds will be provided for unattended conferences, no-shows, partially attended sessions, or unused services.
No refunds will be granted due to speaker cancellations, programme changes, scheduling adjustments, technical issues, travel delays, visa rejections, accommodation issues, natural events, or circumstances beyond the control of the conference organizers.
By registering for the conference, participants acknowledge and agree that the organizing committee and conference management shall not be held responsible or liable for any personal loss, injury, damage, delay, technical interruption, or unforeseen incident related to the conference or associated activities.

Abstract & Presentation Policy

All submitted abstracts, papers, posters, and presentations must represent original work of the authors.
The organizing committee reserves the right to review, accept, reject, or schedule submissions.
Presentation schedules, session timings, speakers, and programmes are subject to change based on conference requirements.
Authors are responsible for ensuring the originality, accuracy, ethical compliance, and scientific validity of submitted content.

Speaker, Sponsor & Exhibitor Policy

Speakers, exhibitors, and sponsors are expected to comply with conference guidelines and professional standards.
Promotional activities must not interfere with conference sessions or attendee experience.
Sponsorship and exhibitor benefits shall apply according to the selected package agreement.
Customized exhibitor and sponsorship packages may be arranged upon request.

Participant Conduct

All participants are expected to maintain respectful and professional behavior throughout the conference.
Harassment, discrimination, abusive behavior, or disruption of sessions will not be tolerated.
Organizers reserve the right to remove any participant violating conference policies without refund.

Privacy Policy

Personal information collected during registration, abstract submission, or website interaction will be used solely for conference-related communication, event management, and organizational purposes.
Information such as name, email address, phone number, affiliation, abstracts, and participation details may be collected during registration and submission processes.
Payment card information is not stored by the conference organizers.
Participant information will not be sold or intentionally shared with unauthorized third parties.
By using the website, users consent to the collection and use of information in accordance with the conference privacy practices.

Photography & Media Consent

Conference sessions may be photographed, recorded, livestreamed, or used for promotional and documentation purposes.
By participating in the conference, attendees grant permission for the use of photographs, video recordings, and media related to conference activities.
Unauthorized recording or redistribution of conference materials may be restricted.

Travel & Accommodation

Participants are responsible for arranging their own travel, accommodation, visa, insurance, and related expenses unless otherwise specified.
Conference organizers are not responsible for travel disruptions, visa issues, accommodation problems, personal loss, or delays.

Media & Recordings

Promotional Recording: Sessions may be photographed or recorded for promotional and archival purposes.
Implicit Consent: By attending, you allow the use of your name, voice, and image in media.
Opt-Out Option: To opt out, you must submit a written notice before the event starts.

Website & Digital Platforms

Compliance Required: You must use the Globexa website and digital services legally and ethically.
Third-Party Links: Globexa is not responsible for the content or safety of external websites linked on their platform.

Liability Disclaimer

No Liability: Globexa is not responsible for personal injuries, financial losses, or property damage during events or while using their platforms.
Attendee Expenses: Participants are entirely responsible for their own travel, accommodation, and insurance.

Data Privacy

Policy Compliance: Personal data is collected and processed according to Globexa's Privacy Policy.
Consent through Action: Registering, attending, or using the platforms counts as agreement to data collection and sharing.
